E-mail reception

To allow you to manage your mailbox well, every incoming e-mail is processed by 5 successive steps.

You can modify the parameters of these steps by choosing E-mail reception in the Options menu.

1. Sender filtering

All e-mails which are sent to you from blocked addresses or domain names are automatically deleted, before they arrive in your mailbox. It is by no means possible to retrieve the contents of the messages deleted that way. If you want to receive one of these messages, you must remove the rule which blocks it, then ask the sender to send the message again.

In order to block an e-mail address or a domain name, you can:

  • click on the Spam button when reading a message
  • declare the e-mail address or the domain name in the Blocked senders page; you can use the wildcard character * to block e-mail addresses or domain names with close names (for example spam*.xyz to block spam01.xyz, spam02.xyz etc.)

Warning! Blocking whole domain names, especially those of e-mail services or Internet providers, can prevent you from receiving many more e-mails than you might expect, including ones you would actually like to receive.

2. Antivirus and antispam tools

Mailo Secure Cloud has an antivirus and an antispam and e-mails classification filter.

By default, the antivirus deletes incoming e-mails containing a detected virus.

Messages identified as spam are stored in the Spam folder by default, whereas newsletters are stored in the Newsletters folder and notifications from social networks in the Social networks folder.

You can modify these default choices and declare additional newsletters and social networks.

3. Period of absence

In case of absence, you can write a specific message to send to your correspondents, for example to indicate the date of your return or who to contact in your absence. The absence message will be sent at most once every 7 days to each of your correspondents.

You can also choose to forward all received emails to another email address.

All e-mails received during your period of absence will also be processed by your filters and your automatic reception.

4. Filters

You can define filters to manage the e-mails you receive as you see fit. For instance, messages sent by specific senders or whose subject contains specific words can be placed automatically in a folder.

If no filter applies to the received message, the automatic reception is used.

You can apply your current filters retroactively to the messages in a folder. These messages will undergo the tests defined by your filters as if they were just received, which can be useful when you have defined new filters.

5. Automatic reception

Automatic reception is used for all received e-mails except the ones matching a filter. You can:

  • set up an automatic transfer or a notification for incoming e-mails
  • set up an automatic answer, which will be sent to each correspondent at most once every 7 days
  • mark e-mails as read or important
  • choose a folder where the messages are stored, or delete them

If you have not set any specific rules, the e-mails you receive are stored in your inbox.
